Tips
- Press “Shift + Enter” to move to the next line; otherwise, the line spacing will be too large.
- When copying and pasting, use “Command + Shift + V” to strip formatting.
- Required Template: Navigate to Marketing → Campaigns → Write Your Own → Cloud 9 Standard Template.
Enter your newsletter title in the Subject field. Then, double-click the campaign title and body text to remove the placeholder text and replace it with your own. Do not edit any other areas of the campaign. Once finished, scroll to the bottom and click “Next: Select Recipients.”
Most campaigns are typically sent to all clients; however, you may also send targeted campaigns when appropriate. A commonly used option is targeting clients who have not returned within the past three months.
- Always send a screenshot of your campaign to your team for review before sending it out. Get multiple sets of eyes on it to avoid confusing messaging, grammar errors, and typos.

Newsletter Best Practices
Newsletter Frequency
Send newsletters 1-3 times per month. This ensures consistent engagement without overwhelming clients. Sending too many newsletters may make clients feel spammed, leading to unsubscribes or lower engagement.
Focus on quality over quantity. Each newsletter should provide genuine value, whether through promotions, updates, or wellness tips. Never duplicate a newsletter, as it can feel repetitive and spammy. Instead, vary the content to keep clients engaged and interested.
Best Sending Times: Research shows that sending emails on Tuesdays, Wednesdays, or Thursdays in the morning (8-10 AM) or afternoon (1-3 PM) results in higher open rates. Avoid sending on weekends or late evenings.
Visual Design
- Keep Branding in Mind: Ensure the newsletter aligns with our spa’s brand colors and font for a consistent and professional look.
- Balance Text with Photos: Avoid overwhelming clients with too much text. Use high-quality images to enhance readability and engagement.
- Keep Layout Clean & Organized: Use short paragraphs, bullet points, and whitespace to make the content easy to scan.
Content
- Use our slogan: “America’s Family Friend Spa”
- Prioritize key messages: Highlight the most important deal or update first to grab attention.
- Keep content concise: Avoid overwhelming readers with too much information or too many choices. Keep messages clear, direct, and engaging.
- Limit promotions to 2-3 per newsletter: Instead of listing multiple offers at once, focus on just 2-3 key promotions to maintain client interest.
Rotate promotions over time: Feature a new promotion in each newsletter rather than announcing everything at once. This keeps emails fresh and engaging while encouraging clients to stay subscribed.
Make the Most of Your Client’s Attention
Every newsletter should include at least two key components to keep it engaging and valuable, pick 2
- A Deal/Promotion: Highlight the latest offer, discount, or exclusive promotion.
- Client Review/Testimonial: Builds trust and reinforces quality.
- Therapist Introduction: Feature a team member to create a personal connection.
- Link to a Blog/Article: Drive traffic to your website and provide more in-depth value.
- Wellness Tip: Provide a quick self-care or relaxation tip.
Newsletter Check List
- Double check for misspelling and grammar errors.
- Check that a Promotion Code and Expiry Date was included.
- Always include Terms & Conditions.
- Check for spa specific info such as phone, address.
- Check for broken links.
- Include a call-to-action (e.g., “Book Now” or “Claim Offer”).
- Test email formatting on both desktop and mobile before sending it out.
